How vCloud Choice Inc. collects, uses, shares, and protects personal information.

This Privacy Notice describes how vCloud Choice Inc. ("vCloud Choice Inc.," "we," "us," or "our") collects, uses, discloses, and protects personal information when you use our websites, portals, shop, quote tools, and related online services (collectively, the "Site"). It should be read with our Cookie Notice, Additional U.S. State Privacy Disclosures, and Subprocessors & Data Processing page. By using the Site, you acknowledge the practices described here.

1. Personal Information and PII

In this Notice, "personal information" (sometimes called personally identifiable information or "PII") means information that identifies, relates to, describes, or can reasonably be linked to an individual or household. It does not include information that has been de-identified or aggregated so it can no longer reasonably identify a person.

We do not intentionally collect sensitive categories such as government ID numbers, precise geolocation, biometric templates, or health data through the Site, except where payment or identity verification tools require limited data to complete a transaction (for example payment card details handled by our payment processor).

2. Categories of Personal Information We May Collect

Depending on how you interact with us, we may collect the following types of personal information:

  • Identity and contact — name, email address, phone number, mailing or shipping address.
  • Professional / business — employer or company name, job title, business account role (owner, employee/sub-user).
  • Account credentials — username or login identifiers and authentication-related records (we do not ask for passwords by email).
  • Commercial and order data — products viewed or purchased, quotes/RFQs, cart contents, invoices, order history, support/case details.
  • Payment-related data — billing address and payment method details needed to process a purchase; full card numbers are typically handled by our payment processor rather than stored on our servers when processor checkout is used.
  • Device and usage data — IP address, browser type, device information, pages visited, referring URLs, access times, and similar technical logs.
  • Cookie and analytics identifiers — as described in our Cookie Notice, including optional Google Analytics identifiers after consent.
  • Communications — messages you send via contact forms, email, chat labels, or support channels.

3. Sources of Personal Information

We collect personal information:

  • Directly from you — registration, profile updates, checkout, quotes/RFQs, newsletter signup, and support requests.
  • From your organization — when a business account invites employees or agents as authorized users.
  • Automatically — through cookies, logs, and similar technologies when you use the Site.
  • From service providers — for example payment processors, shipping partners, or analytics providers acting on our behalf.

4. How We Use Personal Information

We use personal information to:

  • Operate the Site, accounts, catalogs, quotes, checkout, and customer portals.
  • Process and fulfill orders, payments, shipping, returns, and related customer service.
  • Respond to inquiries, RFQs, and support cases.
  • Send transactional messages (order status, security alerts, account verification).
  • Send marketing or newsletter communications where permitted (you may unsubscribe).
  • Secure the Site, prevent fraud and abuse, and troubleshoot technical issues.
  • Measure and improve Site performance using optional analytics after consent.
  • Comply with law, enforce our terms, and protect our rights and users.

5. Disclosure of Personal Information — We Do Not Sell or Share

vCloud Choice Inc. does not sell your personal information, and does not share your personal information for cross-context behavioral advertising. We do not rent or lease customer lists as a product, and we do not provide personal information to unaffiliated third parties for their own independent marketing.

We only disclose personal information to service providers (processors) that help us operate the Site and fulfill our business relationship with you — for example payment processing, hosting, analytics (only after you consent to Performance cookies), email delivery, customer support tooling, and U.S. shipping partners. Those providers may use personal information only to perform services for us, or as otherwise allowed by contract and law. Categories include:

  • Cloud hosting and infrastructure
  • Payment processors (for example Stripe-class checkout providers)
  • Email and messaging providers for transactional and, where permitted, marketing mail
  • Analytics providers (for example Google Analytics) after cookie consent
  • Customer support / case tools
  • Shipping and logistics partners for U.S. deliveries
  • CDN or security edge services where used

When you leave our Site or interact directly with a manufacturer or payment-processor hosted page, that party’s privacy notice applies to that interaction.

We may also disclose personal information if required by law or in good faith to comply with legal process, protect vCloud Choice Inc.’s rights or property, or protect personal safety in exigent circumstances.

7. Cookies and Tracking

We use cookies and similar technologies as described in our Cookie Notice at Cookie Notice. Essential cookies support core Site functions and consent memory. Optional analytics cookies (including Google Analytics) load only after you accept them in our cookie banner. We do not currently use separate advertising cookies on the Site.

You can change browser cookie settings or clear stored consent to see the banner again. Declining analytics cookies does not block basic browsing.

8. Security

We use administrative, technical, and organizational measures designed to protect personal information, including encrypted transmission (such as TLS/SSL) for sensitive forms and payment flows where applicable, access controls, and monitoring appropriate to our systems.

No method of transmission or storage is 100% secure. You acknowledge that security and privacy on the internet cannot be guaranteed absolutely.

This Notice does not claim specific third-party compliance certifications (such as SOC 2, ISO, or PCI DSS attestations) for vCloud Choice Inc. unless we expressly publish them. Payment card data, when processed through a payment provider, is also subject to that provider’s security and compliance program.

9. Retention

We retain personal information for as long as needed to provide the services you requested, operate accounts, complete transactions, resolve disputes, enforce agreements, meet legal or accounting requirements, and for other legitimate business purposes described in this Notice. Retention periods vary by data type (for example order records are typically kept longer than routine analytics events). When information is no longer needed, we delete or de-identify it where practicable.

10. Right to Deletion and Other Requests

Subject to certain exceptions, on receipt of a verifiable request from you, we will delete your personal information from our records and direct service providers to delete it from theirs where required.

We may decline or limit deletion when information is still needed to complete a transaction, provide a requested service, detect security incidents, debug, exercise free speech or other legal rights, comply with law (including the California Electronic Communications Privacy Act where applicable), or for internal uses reasonably aligned with your relationship with us.

Residents of California, Colorado, Nebraska, Rhode Island, Texas, and Virginia may have additional rights described in our Additional U.S. State Privacy Disclosures. To make a privacy request, email [email protected] with a clear subject line (for example “Privacy Request” or “State Privacy Request”). We may need to verify your identity.

11. Email Communications

We may email you transactional messages related to your account or orders. We may also send promotional or newsletter emails where permitted. To stop marketing emails, use the unsubscribe link, our newsletter unsubscribe page where available, or email [email protected].

12. Children

The Site is intended for business and adult users. We do not knowingly collect personal information from children under 16. If you believe a child provided personal information to us, contact [email protected] so we can take appropriate steps.

13. Changes to this Notice

We may update this Privacy Notice from time to time. Material changes will be reflected by updating the effective or last-updated date and, where appropriate, by notice on the Site or by email to the address on your account. Continued use of the Site after an update constitutes acknowledgment of the revised Notice, except where additional consent is required by law.
